Hi. That's not possible for matrix or regular tables. As an alternative you can export to pdf or ppt for keeping colors. The excel will only take values. I remember I have seen a custom visual of a table that allowed to keep formats, check the video: https://www.youtube.com/watch?v=45PP28bb3h4

I don't know the table but I think paginated reports are an alternative here.

In the Power BI Service, exporting a report to PDF does not preserve conditional formatting like background colours in a matrix visual. This is a limitation of the built-in export engine, which focuses more on layout than full visual fidelity, so what you see in the report isn’t always what you get in the PDF.

There isn’t any setting or workaround in the Service to fix this. If you need the export to match exactly including background colors, the only fully supported solution is to use Paginated Reports. Otherwise, the only practical alternative is a manual approach like printing or taking a screenshot from the browser, which preserves formatting but isn’t scalable.

Option 1) Export the report page

Go to File → Export → PDF
Make sure your matrix is on a clean page (full width, proper layout)

This will preserve background colors and formatting, but it exports the whole page.

Option 2) Paginated Reports (true solution)
You mentioned avoiding this, but just for clarity:

Paginated reports are the only way to get pixel-perfect, table-level PDF exports
Best for large matrices and precise formatting

In the Power BI Service, create a Paginated Report, select your dataset and insert a Table/Matrix. Add your fields, then set the background colour formatting (you can use expressions for conditional colors, similar logic to Power BI). Once the layout looks right, click Run and choose Export -> PDF.

Hi @Khushboobarai , Thank you for reaching out to the Microsoft Community Forum.

In Report Builder, don’t use a generic data source. Go to Data Source -> New -> Power BI Dataset, sign in and select your dataset from the Service. This only works if the dataset is in a Fabric/Premium workspace and you have access to it, otherwise it won’t show or won’t load. Once this connection is done correctly, the dataset fields will appear on the left and you can insert a table/matrix and use the data normally.

Paginated Reports won’t work with just a Pro setup. You need either a Premium/Fabric workspace or a PPU license to use them in the Power BI Service. If you have neither, you’re unable to connect the dataset in Report Builder or proceed further, the feature isn’t available in that setup.

With Pro, there is nothing else that gives the same result. The only options are exporting the report to PDF or PowerPoint or printing from the browser, but they use the same rendering and don’t reliably preserve matrix background colors. So, if your requirement is exact formatting in PDF, there’s no like-for-like solution on Pro; it’s a limitation of the platform unless you move to PPU or Premium.
